We need you to be dependable, reliable, and able to show up on time and complete tasks in a timely manner. Secretaries

As a Secretary at YCOE, you will be required to perform the following:

  • Attend departmental or in-service meetings to share and acquire information essential to fulfill job duties.
  • Collect and organize statistical data to create reports for the assigned administrator, as required by federal, state, and YCOE regulations.
  • Oversee and manage office workflow, including scheduling interviews, coordinating daily work processes, setting appointments, and organizing meetings and workshops, to ensure prompt completion of activities and service delivery.
  • Provide exceptional customer service to visitors, staff, and administration, including answering phones, providing accurate information, redirecting visitors and callers, and furnishing detailed information about County Office and department programs, to facilitate clear communication.
  • Maintain both manual and electronic files and records, including purchase orders, time sheets, budget files, directories, and more, to ensure accurate and accessible information is available in accordance with administrative guidelines and legal requirements.
  • Utilize various office equipment, including computers and related software, to support YCOE staff.
  • Perform personnel-related tasks, such as reviewing and processing timesheets, monitoring staff attendance, and managing staff training, to uphold policies and guidelines that support staff.
  • Create various written materials, such as letters, memorandums, meeting minutes, charts, reports, brochures, and more, to document activities, provide written references, and communicate necessary information.
  • Undertakes any other relevant duties assigned to ensure that the work unit operates smoothly and efficiently.

As our Secretary, your primary focus will be to offer extensive secretarial assistance to your assigned administrator or department. Your responsibilities will include supporting administrative duties that require familiarity with departmental policies, County Office regulations and procedures. 

You will also be in charge of organizing and managing office communications and activities, as well as disseminating critical information and County materials.

Education Required:

Custodians

As a Custodian at YCOE, you will be required to perform the following:

  • Keep designated areas such as classrooms, offices, gymnasiums, restrooms, multipurpose rooms, and grounds clean, safe, and visually pleasing.
  • Transport various items such as supplies, mail, packages, and furniture to their recipients.
  • Perform routine maintenance tasks such as floor stripping and waxing, furniture relocation, painting, and equipment repair in accordance with established procedures.
  • Prepare physical spaces for school events and meetings, ensuring they are set up appropriately.
  • Replenish classroom and restroom supplies such as paper towels and soap to ensure an adequate supply for daily use.
  • Promptly report any immediate safety or operational concerns, such as facility damage, vandalism, and alarms, to the relevant personnel.
  • Secure facilities and grounds by locking doors and gates, activating alarms and lights, and taking necessary measures to minimize property damage and prevent equipment loss.
  • Assist other maintenance staff, including groundskeepers and tradespeople, in completing custodial activities.
  • Perform any other related duties as assigned to ensure the efficient and effective functioning of the work unit.

Educational Interpreters

Interpreter

As an Educational Interpreter at YCOE, you will be required to perform the following:

  • Follow the teacher's instructions to modify classroom work and reinforce lesson plans for assigned students.
  • Administer subject-specific tests and assessments to evaluate students' language and subject proficiency.
  • Evaluate classroom and other room setups at multiple sites to ensure proper setup for students who are deaf or hard of hearing.
  • Assess students' language use and abilities, and assist in their understanding of the educational environment at multiple sites to ensure equal access.
  • Conduct in-service meetings, confer with teachers, parents, and community agency personnel, and facilitate communication to ensure comprehensive understanding.
  • Instruct students individually or in small groups on various skills, such as reading, spelling, self-esteem, behavioral skills, and daily living skills.
  • Interpret in meetings and activities for individuals who are deaf or hard of hearing to facilitate communication.
  • Maintain confidential files and records of student activities for documentation and information purposes.
  • Operate instructional media equipment and relevant software applications, and possess strong oral and written communication skills.
  • Demonstrate knowledge of student behavior management strategies/techniques, manual communication language, grammar, spelling, punctuation, vocabulary, deaf culture, history, and literature.
  • Schedule and organize activities, meetings, and events, gather and collate data, and use basic, job-related equipment.
  • Identify issues and develop action plans using problem-solving skills.
  • Work under limited supervision using standardized practices and methods, lead, guide, and/or coordinate others, and operate within a defined budget.
  • Monitor individual students and activities in classrooms, libraries, playgrounds, etc.
  • Participate in Individual Education Program meetings with assigned students, attend professional development sessions, perform record-keeping and clerical functions, and provide individual or small group instructional support to help students achieve their educational goals.

Maintenance

Maintenance Worker

As a Maintenance Technician at YCOE, you will be required to perform the following:

  • Review blueprints, floor plans, and drawings to ensure proper direction and execution of YCOE projects, whether in-house projects or alterations.
  • Attend staff meetings and in-service activities to exchange information and acquire knowledge of new processes and maintenance requirements.
  • Create components to fulfill specialized requirements or replace unavailable parts.
  • Inspect buildings, grounds, and equipment to identify maintenance, repair, and replacement needs.
  • Maintain all building and grounds maintenance vehicles and equipment to ensure meeting necessary maintenance intervals.
  • Install or repair electrical components such as lights, wall outlets, and switches to ensure proper functioning.
  • Perform custodial duties such as sweeping, burnishing floors, cleaning light fixtures, and washing windows to maintain the facility's appearance.
  • Perform routine and preventive maintenance such as air filter changes and heating and air conditioning unit repair to ensure ongoing facility functioning.
  • Perform skilled trade functions such as plumbing, painting, carpentry, and window installation to complete projects within established time frames.
  • Prepare physical space for meetings and conferences, including multimedia, room arrangement, and necessary equipment rental, to ensure successful operation.
  • Document activities and communicate information through written materials such as repair status and work order descriptions.
  • Provide ground maintenance duties such as pesticide application, mowing, weeding, and trimming to maintain and enhance landscaping.
  • Ensure the physical plant's security by performing tasks such as locking and unlocking doors, turning on/off alarms, and providing employee training on alarm use to secure the assigned facility.
  • Move tools, equipment, and supplies to job sites to ensure the availability of necessary materials.
  • Carry out additional duties as assigned to ensure the smooth and effective operation of the work unit.
     

Are you a skilled Maintenance Technician seeking an opportunity to utilize your expertise? As our Maintenance Technician, you will be responsible for maintaining and repairing assigned facilities, including conducting a variety of maintenance activities such as carpentry, plumbing, electrical work, and ventilating system repairs. 

You will also be accountable for completing routine and emergency repairs and adjustments to buildings and facilities, as well as assisting other maintenance workers. To ensure job efficiency, adequate planning is necessary to guarantee that tools and materials are readily available at job sites.
 

Testing & Certifications Required:

  • Physical Exam 
  • EPA/Pesticide Applicator's license (Possession or ability to obtain) 
  • Forklift Certificate (Possession or ability to obtain)

You need a Tuberculosis (TB) clearance for the Regular Support Staff position because it is a requirement mandated by the California Department of Public Health. TB is a contagious bacterial infection that can spread through the air when an infected person coughs or sneezes. Since school districts and education agencies serve large groups of people, it is important to take precautions to prevent the spread of TB.

All employees who work in California schools, including Regular Support Staff members, are required to undergo a TB screening or testing to ensure that they are free from active TB infection. The screening involves a TB risk assessment questionnaire and/or a TB skin test (also known as a PPD test) or TB blood test (also known as an interferon-gamma release assay). Further testing and medical evaluation may be required if the test is positive.

By requiring a TB clearance, the school district or education agency is helping to protect the health and safety of students, staff, and the community as a whole. It is important to comply with this requirement to ensure a safe and healthy learning environment for everyone.

To obtain a TB clearance as a Regular Support Staff at YCOE, you will need to complete a TB screening or testing. Here are the steps you may need to follow:

  • Obtain a TB Risk Assessment Questionnaire: You can obtain this form from your YCOE supervisor or human resources department. This form will ask you about your medical history and potential exposure to TB.
  • Schedule a TB Skin Test or Blood Test: Depending on the results of your TB Risk Assessment Questionnaire, you may need to undergo a TB skin test or blood test. You can schedule an appointment with your healthcare provider or a local clinic to complete the test.
  • Have the Test Results Reviewed: Once you have completed the TB test, you will need to have the results reviewed by a healthcare provider. If the test is negative, you will be cleared for work. If the test is positive, further testing and evaluation may be required.
  • Submit the TB Clearance Documentation: After you have been cleared, you will need to submit documentation of your TB clearance to the YCOE human resources department. It is important to note that the specific requirements and procedures for obtaining a TB clearance may vary depending on your location and the healthcare provider or clinic you visit. Your YCOE supervisor or human resources department should be able to provide you with more detailed information and guidance on the TB clearance process.

You need a Criminal Justice Fingerprint/Background Clearance for the Regular Support Staff position at YCOE because it is mandated by California law and Yolo County Office of Education policy. The purpose of the clearance is to ensure that individuals who work in schools do not have a criminal history that may threaten the safety and well-being of students and staff.

The Criminal Justice Fingerprint/Background Clearance involves a background check conducted through the California Department of Justice and the Federal Bureau of Investigation. This clearance process will include a review of your criminal history, including any prior arrests or convictions, as well as your fingerprints to confirm your identity.

Important note: The clearance process may take several weeks to complete, and you will not be permitted to work as a Regular Support Staff member until you have received clearance. Once you have received clearance, it will be valid for four years, after which time you must apply for renewal.

To obtain a Criminal Justice Fingerprint/Background Clearance for the YCOE Regular Support Staff position, you will need to follow these steps:

 

  • Schedule a Live Scan Fingerprint Appointment: You can schedule a Live Scan Fingerprint Appointment through a California Department of Justice (DOJ)-approved Live Scan location. You can find a Live Scan location near you on the DOJ website.
  • Obtain a Request for Live Scan Service Form: You must obtain a Request for Live Scan Service Form from the YCOE human resources department. This form will identify YCOE as the agency requesting your fingerprint/background clearance.
  • Complete the Request for Live Scan Service Form: You must complete the Request for Live Scan Service Form by providing your personal information and YCOE's information.
  • Get Fingerprinted at the Live Scan Location: You will need to bring the completed Request for Live Scan Service Form to the Live Scan location you scheduled with, and get fingerprinted at the location.
  • Submit the Clearance Documentation to YCOE: After you have completed the fingerprinting process, the Live Scan location will provide you with a receipt that confirms you have been fingerprinted. You must submit this receipt and any other required documentation to the YCOE human resources department to complete your clearance process.
